Want your check-in information to your account detail information for quick filtering or colorization? What if I told you that you can do it automatically through a simple zap. Update Account Statuses, Sales Numbers, or Contact information with just a few simple clicks.
You will need to connect your Badger Maps account with Zapier to get started. Once your Badger Maps account has been connected to your Zapier account you will want to start a new Zap.
After you select Create New Zap. Select the Trigger Button and search for Badger Maps:
Your Event will be “New Check-In”. Normally this is found on the right-hand side of the screen.
By selecting on the Continue step you will be redirected to the Account sub-step. The Account will be your Badger Maps API. If you are in a Team environment, be sure to use the admin’s API key. You will NOT need to create a zap for each user. If the admin can view all users on the team, each check-in will trigger the zap.
If you are unsure if your admin account can view everyone on your team; please reach out to your Customer Success Associate. For more information on starting a free pilot in a team environment, please schedule a demo with one of our experienced representatives here.
Once the connection has been established it should look like the image below.
Select on Find new records. If you do not see any test data, Zapier cannot find any check-in data.
Even if you have check-ins in your Badger Maps account, sometimes Zapier cannot pull this information. To get around this, open your Badger Maps account and create a check-in on one of your accounts. After 15 seconds, select on Find new records and the newly created check-in should appear within your test step.
Select a sample data check-in so that you can map the data within the next steps of the zaps.
This will be the end of step one.
Select step 2 for your Action step. Since we will be updating the account within Badger Maps, search for Badger Maps for the platform.
Your event will be Update Account. Then hit Continue to verify which API you are using.
Be sure to select the same API key in your first step. Select Continue to move to the action step once this is completed.
The Account ID and the Location ID are both required to update an account in Badger Maps. The check-in from step 1 contains this information and we can map that information within this step.
The Account ID within your Update Account In Badger Maps step will be named Customer. Select in the box for Account ID > Custom > Customer
Now you can do the same for Account Location ID. The Account Location ID will be the ID field within the check-in step. Select in the box for Account Location ID > Custom > ID
Please Note: Account ID and Location ID are NOT the _CustomerId that is found on the account export of Badger Maps.
Additional Note: This guide does not use the Find Account Action. If you need to use the Find Account in Badger Maps (Action Step) for any reason The Account ID and the Account Location ID are named differently. Within the “Find Account in Badger Maps” Action the Account ID will be marked as ID and the Account Location ID will be marked as Location ID. Please see the chart below for reference.
After the Account ID and the Account Location ID have been populated, it is now time to Update your account based on check-in information.
For help customizing your check-ins please reference our handy guide. You can also customize your account details please reference this guide.
You can select the account details that you want to update. You can map the values based on the check-in information. Select on the account detail you want updated > Custom > then the question from the check-in.
For example: In the example below the custom check-ins have a custom “Log Type” dropdown with the following options: Facility Visit, Phone Call, No Contact Left Message, and Email.
You can update an account detail with this information. Let’s update the custom account details: Status. To do this select > Status > Custom > Extra Fields Log Type.
Now whenever a check-in is created the Status will be updated with the Log Type value.
You also have the option to hardcode a value. To do this select Status > Custom > then select in the box that says “Enter text or insert data…” and type what you want the value to be.
In the same example, the value has been coded to Visited. Now whenever a check-in has been made the Status will always be updated to Visited no matter what information is in the check-in.
Note that the Visited does not have the Badger Map’s logo, this will mean that the value is hardcoded, and not pulled from the check-in.
Select on Continue or Test.
From here, select the Test step or Retest step. This will push the sample data from your check-in to the account within Badger Maps.
Log into your Badger Maps account and find the account you are looking to update.
Review the data to make sure that the fields are mapped the way you want them. If they are not, then you will want to go back to the Action step and remap the fields.
There is not a way to blank/remove data within a field if it has already been populated via Zapier.
Once everything is working, select Publish Zap.
You have completed your zap that update’s your account details with a simple check-in.
